Spot Spray NZ Ltd ("Spot Spray", "we", "us") operates a drone-based agricultural spraying and weed management service and this client portal (the "Service"). We are committed to protecting the privacy of your personal information in accordance with the Privacy Act 2020 (New Zealand) and the information privacy principles contained in that Act.

2. Information We Collect

We collect personal information that you provide directly when using our Service:

• Identity & contact: full name, email address, phone number.
• Property information: farm/property name, physical address, district/region, GPS coordinates, farm boundary shapefiles.
• Job & operational data: target weed species, job type, spray dates, chemical application details (products, rates, volumes), spray coverage data, flight logs.
• Signature data: electronic signature captured when signing a spray briefing sheet.
• Account data: email address and name used to log in via the platform.
• Technical data: browser type, IP address, and usage logs collected automatically by our hosting platform.

We do not collect sensitive information such as health data, financial account numbers, or government-issued identity numbers.

3. How We Use Your Information

We use your personal information to:

• Create and manage your account and job requests.
• Plan, schedule, and carry out drone spraying and weed management operations at your property.
• Prepare spray briefing sheets, job sheets, flight records, and other compliance documentation required under the Health and Safety at Work Act 2015 and Civil Aviation Rules Part 102.
• Maintain agrichemical use records as required under the HSNO Act 1996 and ACVM Act 1997.
• Send you job status updates and notifications by email.
• Respond to your enquiries and provide customer support.
• Improve our Service.

4. Disclosure of Your Information

We may share your information with:

• Our staff and pilots who need it to carry out your job.
• Our software and hosting providers (including cloud infrastructure) who process data on our behalf under confidentiality obligations.
• Regulatory bodies where disclosure is required by law (e.g. the Civil Aviation Authority, WorkSafe NZ, or Environmental Protection Authority).

We do not sell, rent, or trade your personal information to any third party for marketing purposes.

5. Storage and Security

Your information is stored on secure cloud servers. We implement reasonable technical and organisational measures to protect your data against unauthorised access, loss, or disclosure. However, no internet transmission is completely secure, and we cannot guarantee the absolute security of information transmitted to us.

6. How Long We Keep Your Information

We retain personal information for as long as necessary to provide the Service and meet our legal obligations. Chemical application records are retained for a minimum of five years as required by the HSNO Act. Flight and operational records are retained for at least seven years as required under the Civil Aviation Rules. Other personal data is deleted or anonymised when no longer required.

Under the Privacy Act 2020, you have the right to:

• Ask whether we hold personal information about you and to request access to it.
• Request correction of any information that is inaccurate or incomplete.
• Make a complaint to us, and if unresolved, to the Office of the Privacy Commissioner.
